Cancellation policy
If you’ve registered for an event but for some reason you cannot participate, be sure to cancel as soon as possible. You can cancel your registration on the event page where you also subscribed (be sure you’re logged into your All Terrain account) or tell the organization of the activity.
Last minute cancellation
Cancelling your registration within 48 hours before the activity is seen as a last-minute cancellation. For multiple-day activities this is 7 days in advance. If you cancel last-minute you might still be asked to pay (a part of) the price of the participation price. This because costs could already have been made on your behalf, and it’s too short notice for the organization to change anything about this (food can be bought already, activities already arranged etc.). You can therefore be charged for those costs that have already been made. In this case we advise you to find a replacement.
No show
When you have subscribed for an event, but you do not participate without cancellation, this is regarded as a no show. Such a situation is undesirable for those who organise the event as costs are already made on your behalf. Furthermore your unnotified absence might disrupt the activity in various ways. As a consequence, you will still need to pay the full participation fee.
Transport
All Terrain organizes transport to various runs, if possible with the SSC van. Because we have to reserve this van and cancel it in advance if we don’t want/need to use it anymore, we need to know 7 days in advance whether or not you’re joining the transport. In the case of a no show or a last minute cancelation you will still have to pay for your transportation cost.
Board
The board reserves the right to deviate from these guidelines. Exceptions can be made for various reasons, determined by the board.
